Welcome to EarthWise Wellness, LLC, committed to providing you natural, safe, and holistic care in your pursuit of a healthy and vibrant life. As the owner and founder of EarthWise Wellness, LLC, and as your Aromatherapy and Reiki provider, I have instated the following policies to aid transparency and avoid any misunderstandings in order to offer you the highest level of service. Please review them carefully, as they encompass the full scope of issues regarding scheduling, fees, office visits, and other topics pertinent to this practice. Clearly stating these policies is the best way to avoid misunderstandings and potential conflict. Please take time to read and review this document.
After scheduling your first appointment, I will send you a copy of these policies and a form to sign stating that you acknowledge and understand them. You may wish to print them out for your personal reference.
Online Scheduling and Important Forms
All appointments are made online through the EarthWise Wellness scheduling portal (earthwisewellness.com/schedule). As a one-woman operation, this allows for ease of scheduling at any time convenient to you.
After you schedule your appointment, you will be emailed a confirmation, and if it is your first appointment, you will also receive a Client Information Form and a copy of these policies. Please fill out your Client Information Form to the best of your knowledge and submit it at least 24-hours before your appointment. Also, review these policies and submit your signature of acknowledgement at least 24-hours before your appointment.
Noncompliance with this policy results in using appointment time to fill out this paperwork and less time on your wellness goals.
Appointment fees are due at the time of scheduling. This allows your full appointment time to be focused on you and your health and wellness goals.
Appointment fees and custom blend fees cannot be refunded after your appointment is complete. See the Cancellations and Rescheduling (Client) Policy below to learn when appointment fees may be returned.
Cancellations and Rescheduling (Client)
If you cancel or reschedule your appointment at least 48 hours in advance, you will be refunded appointment fees in full.
If you cancel your appointment 24 to 48 hours before your appointment, you will be charged a $50.00 late cancellation fee.
If you reschedule your appointment within 24 hours of your scheduled appointment, you will be charged a $50.00 late rescheduling fee.
If you cancel your appointment within 24 hours of your scheduled appointment or if you are a no-show to your scheduled appointment, you will be charged for the full amount of your scheduled appointment.
Emergency and extenuating circumstances will be assessed on an individual basis.
Cancellations and Rescheduling (EarthWise Wellness)
If EarthWise Wellness needs to cancel or reschedule your appointment, you will be alerted as soon as possible by phone and email.
Arrival and Appointment Time
Please arrive before your scheduled appointment time. EarthWise Wellness strives to begin and end each appointment at the scheduled time. If you are running late, it may not be possible to extend your appointment. If I am running late, you will receive your full appointment time.
No Perfume or Scented Toiletries
EarthWise Wellness, LLC, offers natural and holistic Aromatherapy products to support and maintain health and wellness. These are made with 100% pure essential oils that provide potential benefits to health and wellness. However, the majority of perfumes and scented toiletries in the marketplace today are made with petroleum products, some containing as many as 5000 synthetic compounds that are potentially harmful to health. Many individuals, including me, are sensitive to chemicals and synthetic aromas, and exposure may cause mild to severe illness. These synthetic aromas also interfere with the ability to smell natural aromas, like essential oils, that you may smell during your Aromatherapy appointment.
Please refrain from using perfume or scented toiletries on the day of your appointment. Synthetic aromas are designed to stick to the skin and clothing for long periods and will not wear off by appointment time if applied earlier. If you overlook this policy, you will be asked to wash off the scent. If it does not come off, your appointment may have to be shortened. Please abide by this policy in order to receive your full appointment time.
No Cell Phones
A ringing or vibrating phone can be disruptive and distracting during your appointment. Please turn off or silence (no vibrate settings) your cell phone prior to entering the office in order to maintain focus on you and your well-being goals.
All appointments are available in person and by phone. If you live within easy driving distance, in person appointments are recommended. However, if you are unable to make it into the office, EarthWise Wellness is able to provide Clinical Aromatherapy Consultations over the phone and distance Reiki Sessions completed at the scheduled appointment time.
The previous Arrival and Appointment Time policy is in effect for distance appointments.
For distance Aromatherapy consultation sessions, please call the provided number at your scheduled appointment time. Please set this full time aside for yourself and avoid distractions in order to receive the full time and benefits of your appointment. You will receive an invoice for shipping & handling fees that must be paid before your products are shipped.
For distance Reiki Sessions, lie down in a quiet place and comfortable position, away from distractions, during your scheduled appointment time in order to receive the full benefits of your appointment.
Receiving Custom Blends and Refills
After your Holistic Aromatherapy Consultation, you will receive custom blends. These take time to prepare, and while EarthWise Wellness strives to make these available 2 days after your appointment, they may take up to 4 days. You will receive an email when they are ready for pick-up in the Pittsboro Office. If you would prefer to receive your blends by mail, you will be charged an additional fee for shipping and handling. You will be given a tracking number and should receive them 2-5 business days after they are shipped. EarthWise Wellness, LLC, is not responsible for lost or damaged packages.
If you would like to refill your custom blends, fill out and submit the Refill Order Form. You will receive an invoice for the cost of your custom blends as quoted on each blends’ information sheet with shipping cost if applicable. Your blends will be created and ready for pick-up in the Pittsboro Office or shipped 2-4 days after payment is received.
Client information is kept strictly confidential. If you would like any information shared from your appointment or any forms, online or print, I will only do so with your written consent and only to those addressees given by you.
Online forms are held in a secure server and are password protected.
EarthWise Wellness, LLC, ascribes to a code of ethical behavior as outlined by the National Association for Holistic Aromatherapy, the International Association for Reiki Professionals, and the Handcrafted Soap and Cosmetics Guild. You may access each code of ethics by clicking on the organization name above. Below is a brief summary.
EarthWise Wellness, LLC, provides services for which I am fully qualified (professionally, physically, and emotionally) and will refer you to appropriate specialists when necessary. Sessions are customized in order to best meet your needs.
Personal and professional boundaries are respected at all times.
EarthWise Wellness, LLC, does not diagnose, prescribe or provide any service that requires a license to practice unless specifically licensed to do so.
EarthWise Wellness, LLC, respects all clients regardless of their age, gender, race, national origin, sexual orientation, religion, socioeconomic status, body type, political affiliation, state of health, and personal habits.
Aromatherapy and Reiki services are not covered by health insurance at this time.
